Resource Coordinator / New York

Scholar is looking for a Resource Coordinator in our New York office to support our production team with a primary focus on talent resources, team building, and the logistical aspects related to the procurement and onboarding of artists. The role is a vital component to the beginning of the production process, responsible for securing the key talent that make our projects possible, and are at the forefront of fostering positive long term relationships with our freelance artists.


Job Duties

  • Maintain active freelance database
  • Create specialized talent resource lists for specific projects
  • Coordinate with LA and NY resourcing teams to ensure resources are being optimized across offices
  • Book talent, and secure appropriate paperwork
  • Make sure Operations receives booking dates and paperwork for invoicing purposes
  • Coordinate technical onboarding of freelancers
  • Work with the Creative Resource Manager and Producers to ensure team needs are being met
  • Continue to learn and evolve knowledge of production and resources necessary for multiple workflows and projects
  • Understand when to escalate matters or ask for guidance from senior production staff
  • Work with IT to maintain and monitor seating / machine chart
  • Identify any space or machine concerns related to the size of teams


Soft Skills

- Excellent organization skills

- Excellent interpersonal and communication skills

- Impeccable attention to detail in a fast-paced, ever-changing work environment

- Familiarity with various creative mediums and art styles is a huge benefit


Technical Skills

- Comfortable with Google Sheets and Excel

- Experience with CETA or other cost tracking software is a plus
